    Position Title: Events Manager
    Office Location: Los Angeles or San Francisco
    Description: An outstanding opportunity currently exists for an experienced Events Manager for this national law firm. The role can be located in either Los Angeles or San Francisco and will have overall responsibility for business development and marketing events across the country.

    The team develops and coordinates more than 30 firm-produced events, 15 webinars and 60 outside sponsored events each year. The Events Manager is responsible for the design, development, planning and execution of conferences, meetings, sponsorships and special events. The Events Manager will produce high-end client receptions, dinners, educational workshops and webinars, internal partner retreats, and industry sponsorship events. As lead for the Events Team, within the Business Development and Marketing department, you will work closely with business development, branding/graphic services, office administration, and facilities to produce events that further the strategic goals of the firm.

    The Events Manager will manage every aspect of assigned events from the advance planning stages through post-event analysis; hire, train, schedule and supervise event staff of two; coordinate and draft communication between event staff and attendees; and be responsible for ensuring overall client satisfaction and experience.


    Event Management

    • Manage the entire event planning process from invitation creation through completion with both internal and external contacts; coordinate with contacts to ensure contracts are accurate and meeting criteria are received, understood and implemented.
    • Manage and oversee the two-person events team responsible for the registration, housing and collateral aspects of assigned meetings and events; lead team in both a project and performance management capacity.
    • Research and recommend event venues, including hotels and resorts, restaurants, bars/lounges and special-event spaces. Conduct site visits and site inspections of potential event properties and prepare PowerPoint visual presentations and/or cost-comparison spreadsheets of venue recommendations.
    • Manage logistics: timelines, communications, invitations, RSVPs, room blocks, list management, transportation, food and beverage, room setup, speakers, AV, production and handouts, CLE, off-site activities, giveaways, shipping and branding.
    • Design exceptional attendee experiences for high-end client receptions and dinners, including restaurant buyouts, private dining rooms, menu/wine pairings, room setup, floral, seating assignments and attendee gifts.
    • Develop strong relationships with vendors to ensure production of the highest-quality events while maintaining event control. Includes negotiating commercial agreements with event suppliers and external vendors.
    • Work closely with internal teams (including business development, branding and marketing technology) to prepare pre- and post-event promotions/activities and ensure event information is communicated to the target audience well in advance of the event.
    • Assume on-site management for client meetings; organize and manage staff, speakers and materials; ensure all agenda timelines are met.
    • Review emergency planning procedures with all events staff for each event.
    • Assist and direct AV and changeover crew with setup and breakdown of major events.


    • Monitor and distribute attendance reports internally to ensure capacity is maximized at each meeting; make adjustments to meeting space or sleeping room blocks as necessary.
    • Coordinate with business development and marketing staff to create an events calendar for all assigned meetings; map out deadlines for all meeting deliverables.
    • Provide analysis of attendee demographics, including client status, company size and industry, to help inform future planning. Maintain key data and metrics and provide monthly reports to management.
    • Monitor competitor event activity and industry trends, providing insight and suggestions to position the firm at the forefront of the industry.
    • Adhere to outlined budgets for each meeting assigned; seek opportunities to minimize expenditures that will not compromise meeting quality.
    • Oversee the alumni program and update of contact database.

    Specific Requirements

    • Bachelor's degree or better from an accredited college/university with major coursework in facility management, hospitality management, business management, marketing or related field preferred.
    • Certified Meeting Professional (CMP) designation is a plus. Membership in MPI, PCMA, etc. is desirable.
    • The successful candidate will bring 10+ years in a senior event management role, managing large-scale events and conferences (500+ attendees).
    • Demonstrated ability to make recommendations and influence senior executives/decision- makers.
    • This position also requires constant use of interpersonal skills including the ability to direct, motivate, and inform staff and foster collaboration; the ability to recognize and resolve conflicts; and the ability to effectively communicate in writing and verbally with clients.
    • Must be highly organized and must have a high energy level, exceptional attention to detail, excellent problem-solving skills, a results-focused approach and outstanding project management skills. Position requires constant attention to precise details and accuracy of specified standards.
    • Ability to analyze challenges, identify alternative solutions and project consequences of proposed actions, and implement recommendations in support of organizational objectives.
    • Must have computer skills in Microsoft Office applications and word processing, spreadsheets, database, presentation, ticketing software and Internet software.
    • Ability to travel (10%) and work a flexible schedule, including long nights, early mornings, weekends and holidays as needed.
