The Opportunity

The Client Billing Projects Manager leads and delivers strategic client billing initiatives by driving process design, system implementations, and cross-functional coordination across Billing, Client Accounting, Financial Systems, Intake, Conflicts, and IT. This role ensures that client billing requirements, fee arrangements, compliance obligations, and system configurations are implemented accurately, efficiently, and consistently through structured project management and governance.

Working closely with the Director of Billing and Accounts Receivable, the Client Billing Projects Manager manages complex billing initiatives, including Expert Billing implementations, rate and fee arrangement projects, and compliance workflows—to support scalable growth, operational excellence, and enhanced client service. The role requires a strong understanding of the end-to-end client billing lifecycle and a proactive approach to improving processes, controls, and supporting technology to enhance operational efficiency and client service.

Key Responsibilities

  • Lead cross-functional client billing projects from initiation through implementation, ensuring alignment with business objectives, timelines, and stakeholder expectations.

  • Develop and manage project plans, workflows, milestones, and success metrics for billing and compliance initiatives.

  • Monitor progress, manage risks and dependencies, and ensure timely delivery of project outcomes.

  • Partner with Financial Systems and IT to design, testing, and implement billing tools and enhancements, including Aderant Expert Billing, rate hierarchies, entity management, time entry rules, and outside counsel guideline configurations.

  • Serve as a subject matter expert on client fee arrangements, billing requirements, and system set-up during new client onboarding and existing client changes.

  • Ensure accurate translation of client agreements and outside counsel guidelines into system rules and configurations.

  • Collaborate with Client Intake, Conflicts, Billing, eBilling, and Finance teams to optimize end-to-end billing workflows and ensure compliance consistency.

  • Act as a liaison between operational teams and systems partners to align business needs with technical solutions.

  • Establish and maintain strong stakeholder relationships to promote collaboration and effective change management.

  • Partner with the Director of Billing and Accounts Receivable to establish standardized workflows, operating procedures, and project governance for client billing initiatives.

  • Identify process inefficiencies, gaps, and risks and lead continuous improvement initiatives.

  • Effectively communicate project goals, status, risks, and outcomes to leadership and key stakeholders.

  • Translate complex billing requirements into clear guidance for Billing Professionals, Billing Specialists, eBilling Specialists, Accounts Receivable Specialists, Client Arrangements and Compliance and other firm personnel.

Qualifications

  • Bachelor’s degree required.

  • Minimum of five (5) years of experience in billing operations, client accounting, revenue cycle, or financial systems, preferably in a professional services or legal environment.

  • Demonstrated experience leading cross-functional projects or process improvement initiatives.

  • Advanced proficiency in Microsoft Office (Excel, Outlook, PowerPoint, Word).

  • Experience with Aderant billing and accounting software.

  • Experience with electronic billing systems, including Aderant Expert Billing and rate hierarchy configurations.

  • Power BI and Iridium experience preferred.

  • Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple priorities, meet deadlines, and handle confidential information.

  • Proven ability to collaborate effectively and influence stakeholders without direct authority.

  • Demonstrated reliability and the ability to work both independently and collaboratively within a hybrid (remote and in-office) team environment The Firm operates on a hybrid work schedule requiring three days of in‑office presence and two days of remote work each week. All employees must remain available for onsite work up to five days per week as business needs dictate. This schedule is subject to change; flexibility is required.

The base annual pay range for this role is between $140,000-$165,000. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity.
