The Opportunity
We are seeking a forward-thinking Practice Coordinator to provide executive-level administrative, project and client support to one or more senior level partners or senior managing directors who lead numerous legal and consulting projects related to federal and state healthcare reform. The ideal candidate is proactive, highly organized, and able to manage competing priorities while supporting senior leaders and client-facing deliverables in a fast-paced professional services environment.
Key Responsibilities
Working in conjunction with the Partners and Consultants to determine, plan and execute effective programs to manage workflow, timelines and project deliverables.
Identifying and compiling daily tasks of incoming and pending work based on existing matters; monitoring status on a routine basis and responding/re-prioritizing as needed
Producing and proofreading presentations and slide decks
Extensive calendar management and scheduling of meetings, conference calls, travel arrangements and events.
Serve as a primary point of contact and liaison with internal and external individuals.
Provide support in development and finalization of deliverables.
Prepare and format correspondence/files in Outlook, Word, Excel and PowerPoint.
Oversee entry and coding of partner's time.
Reconcile monthly billing statements and track to project budgets.
Manage and track expense reimbursements.
Provide back-up support to other assistants, when needed.
Can be involved in the training and on-boarding of new Administrative Professionals in the Healthcare group.
Complete ad hoc projects and duties, as needed.
Qualifications
Candidate should have 5 years of previous experience in executive level support.
Bachelor’s degree in Business, or a related field preferred.
Previous experience in a professional services firm highly preferred
Superior customer service, communication and interpersonal skills
Demonstrated ability to multitask and work under pressure, juggle multiple projects, and prioritize competing needs in a deadline driven environment
Proficiency in Microsoft Office Suite, including Word, Outlook and PowerPoint
Self-motivated with proven ability to anticipate problems and move things forward with limited direction.
Ability to handle sensitive and confidential matters with discretion
Understand client service within a professional services organization, and is driven to exceed expectations
Experience representing and interacting with individuals at all levels of the organization
Strong written and verbal communication skills.
Must have exceptional organizational skills and strong attention to detail.
Demonstrated reliability and the ability to work both independently and collaboratively within a hybrid (remote and in-office) team environment. The Firm operates on a hybrid work schedule requiring in-office presence Tuesday through Thursday, with one optional remote day permitted which may alternate between a Monday or Friday. All employees must remain available for onsite work up to five days per week as business needs dictate. This schedule is subject to change; flexibility is required.
The base annual pay range for this role is between $80,000 - $95,000. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity. A full range of medical, financial and/or other benefits dependent on the position will also be offered.
