The Opportunity

Manatt has an exciting opportunity available for a motivated and team-oriented Proposal Coordinator with a keen eye for detail based in our Washington, D.C. office. Reporting to one of the team’s two Proposal Managers and working closely with the Business Development Team supporting Manatt Health, the firm’s integrated health care law and consulting division, the RFP and Proposal Coordinator will support the Business Development Team’s two Proposal Managers in responding to formal RFPs or high-value pitch/proposal requests on strict timelines.

The successful candidate will have superior organizational, analytical, writing and research skills, be able to juggle multiple projects simultaneously, and work collaboratively in a matrixed environment with a high-performing team and entrepreneurial internal stakeholders. The right person for this position will have a client-centric mindset, excellent communication and organizational skills, and a self-motivated and positive attitude. This individual must be comfortable working at a fast pace while not compromising attention to detail and overall work product.

Key Responsibilities:

  • Support the Proposal Managers in developing responses to formal RFPs or high-value pitch/proposal requests for Manatt Health, including compiling and editing professional biographies and experience lists, building proposal response project plans, writing and editing copy, proofreading, production, distribution, and follow-up with attorneys and consultants.

  • Gather, write and update representative experience descriptions and capability statements for storage in firm’s experience management database, including obtaining and documenting client consent to use names, logos and matter descriptions, to support RFP responses, proposals, and pitches.

  • Actively develop a strong understanding of the Firm, its departments and practice groups, and the industries it serves.

  • Develop over time a robust working knowledge of the health care content most commonly included in RFP responses, proposals, and pitches.

  • Partner with others on the Business Development team to maintain an up-to-date bank of professional biographies and standard proposal language.

  • Understand the RFP requirements and the pursuit strategy to help the team create compelling and client-focused proposal documents and presentation materials.

  • Participate in Quality Assurance compliance reviews of in-progress RFP responses.

  • Support search functions for government RFPs relevant to the firm’s business interests.

  • Conduct competitor research and analysis and win/loss analyses for submitted proposals.

  • Manage the marketing databases and knowledge management tools, including the library of pitch components, the proposal resource center and ensure completed proposals are filed.

  • Track proposal and pitch activities and produce reports evaluating key factors such as overall win/loss rates, growth areas by practice and industry and other reporting as requested by Firm management.

Specific Requirements:

  • Experience supporting the development of RFP responses and proposals in an accounting firm, business consulting firm, or law firm.

  • Bachelor’s degree in marketing or communications preferred, with 3-5 years’ of professional experience

  • Excellent communication skills, including strong writing, editorial and proofreading skills and strong analytical skills. Exceptional attention to detail is required.

  • Excellent organizational and project management skills with the consistent ability to meet deadlines.

  • Exceptional client service skills, strong influencing and negotiating skills, a comfort with “managing up” to senior professionals, and an ability to persuade others to deliver.

  • Excellent interpersonal skills, along with a "can-do" attitude that results in developing impactful relationships with others.

  • Ability to develop over time a robust working knowledge of the health care content most commonly included in RFP responses, proposals, and pitches.

  • Ability to be proactive and results-driven and a demonstrated ability to plan, organize, and implement goals and objectives to consistently meet deadlines and manage numerous competing priorities.

  • Ability to adapt and respond quickly to changing work situations and possess the capacity to manage pressures and occasional setbacks.

  • Technologically savvy with demonstrated proficiency with the Microsoft Office suite, including Excel, PowerPoint, Word, and Microsoft Copilot.

  • Proven ability to self-manage and multitask in a “lightning speed” environment with shifting priorities.

The base annual pay range for this role is between $68,000-$78,000. The base pay to be offered will vary and depend on skills and qualifications, experience, location and will also take into account internal equity. A full range of medical, financial and/or other benefits dependent on the position will also be offered.
